Responsibilities and Qualifications

Under the direction of clinic management and/or vice president and physicians, as applicable, the medical office coordinator coordinates, evaluates and gives direction in the overall day-today operations of the clinic or work area as assigned. This person will work closely with the manager/administrator with established policies and procedures to achieve goals and objectives.

In communicating with patients, families, visitors and employees, a caring, friendly, personaland professional approach is expected. Performs related duties as assigned. Performs dutiesand responsibilities in a manner consistent with our mission, values, and Mercy ServiceStandards.

  1. Compiles the Health System consolidated monthly financial statements and numerous supporting reports and schedules.

  2. Develops and manages capital and operational clinical unit budgets, including monthly variance analysis.

  3. Directs participation in patient satisfaction and office efficiency surveys.

  4. Communicates Press Ganey results with Physicians and staff in a timely manner and takes action to improve upon deficient areas.

  5. Communicates Mercy Service program, MAPS program, and other System materials to staff in a timely and enthusiastic manner.

  6. Incorporates a patient satisfaction presentation/discussion at each co-worker meeting, document and record in plan.

  7. Communicates and provides leadership for the physicians and staff to develop a team.

  8. Administers personnel benefits, work schedules, performance evaluations, merit increases, promotions and disciplinary actions in a timely manner.

  9. Keeps physicians informed of changing polices & procedures; i.e. photo IDs, open enrollment, etc.

  10. Creates a positive working environment for physicians.

10.1 Takes an active role in seeking solutions/answers to physicians concerns and/or suggestions.

10.2 Serves as contact person for the physicians, other clinics or departments and administration.

  1. Incorporate patient satisfaction discussion at each physician meeting finding low scores and suggestion on how to improve upon these scores.

  2. Understands St. Johns Mercy Service standards and their importance in meeting patient expectations.

  3. This manager promotes a positive image of the department(s) and/or clinic(s) in which he/she works with.

  4. Communicates operational issues to appropriate management/administrators, departments and physicians as needed.

  5. Collects and reviews data for financial and statistical purposes including invoices and statements.

  6. Generates or collects physician and operational financial reports to verify correct charge entries, coding and overall operational reporting.

  7. Coordinates activities such as scheduling, medical records, CPT and ICD-9 coding, charge entry and patient accounts as assigned.

  8. Ensures compliance with regulations and with clinic standards of quality patient care.

  9. Communicates with patients, families, physicians and other employees in a caring and friendly manner; a professional approach is expected.

  10. General Job Duties:

20.1 Attends required meetings and participates in training and committees as required.

20.2 Observes universal precautions consistently.

20.3 Wears proper personal protective equipment when appropriate.

20.4 Wears clothing and Health System badge consistent with dress code, and

attends to personal hygiene to maintain a clean, well-groomed appearance.

Because you’re committed to excellence, you understand the importance of being properly prepared for your role at Mercy. That’s why you’ll bring to your role the right set of qualifications:

Education: Education necessary to communicate effectively in written and verbal form. Knowledge of health care, CPT and ICD-9 codes, managed care and insurance requirements. Computer literate.

Licensure: None.

Experience: Two years experience in a clinic setting and/or supervisory/management experience required.

Certification/Registration: None.

Other skills & knowledge (skills, knowledge, abilities): Ability to exercise initiative, problem-solving and decision-making; ability to apply policies and principles to solve everyday problems and deal with a variety of situations. Ability to read, understand and follow

written and oral instruction. Must be able to remain calm and react effectively during emergency situations. Must be able to communicate clearly and establish and maintain effective working relationships with physicians, patients, staff and the public. Ability to establish priorities and coordinate work activities.

Equipment Used: In office setting, must be able to operate multi -line phone, fax, computer and copier.
